Data Migration Overview
Migrating historical recruiting data into the Whitecarrot ATS involves a one-time import managed by your implementation contact and a Whitecarrot specialist. This process will include assessing and transforming your legacy data for import.
Please note that the ATS migration only create content and do not delete or update existing applications.
Migration Process Steps
- Preparation and Assessment of your legacy data (Legacy ATS)
- Close out inactive jobs.
- Dispose stale candidates.
- Clean up unwanted sources/tags.
- Validate candidate email addresses.
- Understand what data can be migrated
- Add your jobs and stage pipeline (Whitecarrot ATS)
- We recommend that your team manually create new jobs during implementation.
- They should be in published or closed status.
- You should have verify that you have added the correct stage pipelines for these jobs.

- Prepare Legacy Data (on Excel sheets and CV folders)
- Preparing legacy data.

- Load a data sample into whitecarrot ATS for review and validation.

- Import the full legacy data set after sample validation.
Your Responsibilities
Pre-Import Preparation
- Provide consistently formatted exports containing all migration data.
- Assist in mapping jobs, sources, and statuses.
- Ensure the data migrations point-of-contact is familiar with both source data and whitecarrot ATS.
- Close out non-active jobs.
- Disposition of stale candidates.
- Clean up unwanted sources/tags.
- Close ongoing interviews, offers, and tests.
- Validate candidate emails.
