Before you start
- Connect at least one Gmail or Outlook mailbox to the ATS. Outreach is sent from these mailboxes. See Integrate your calendar and email with Gmail or Outlook.
- The agent must be Running or Ready. A paused, turned-off or failed agent cannot add candidates to outreach — you will see Start the agent to add candidates to outreach.
- Candidates need an email address. Add missing ones with Edit contact on the candidate profile.
Launch your first sequence
1. Choose the candidates
- Open the agent and go to the Final shortlist tab (or any stage).
- Tick the candidates you want to contact, or click Select all in this stage.
- Click Add to outreach sequence. You can also use Move to → Added to outreach sequence, or create the sequence first from the Outreach Settings tab with Create sequence.

2. Build the sequence
The Build an outreach sequence dialog opens. Nothing is sent until you launch.
- Pick a template from the dropdown at the top right. Your company default is selected for you.
- Sequence brief — adjust the goal, JD option, channels or number of steps for this agent, then click Continue.

3. Pick the job (Apply link only)
If the sequence asks candidates to apply, choose which job the apply link points to:
- Use an existing job — pick from your Draft, Published and Closed jobs. Type to search.
- Create a new job — enter the title, office location, department and workplace type, and write or generate the job description. The job is created as a draft when you launch.

💡
Candidates who apply through the link appear in that job with the source Headhunt - <agent name>, so you can see which agent brought them in.
